We are presently seeking a motivated individual for the full-time position of an Administrative Assistant. The work hours would be from 9am-5pm and the candidate will work from our North York office.

Reporting to the Senior Human Resources Generalist, the Administrative Assistant is responsible for supporting general head office activities and the management team in the areas of Client Services, Marketing, Operations, Human Resources, Administration and Sales. The Administrative Assistant is the first point of contact at head office and an ambassador for the company and therefore must project, and maintain a professional, refined, high-quality image of the organization.

RESPONSIBILITIES INCLUDE:

  • Provide administrative support for the management team including the President and the departments of Client Services, Marketing, Operations, Finance and Human Resources
  • Scheduling – manage employee schedules and maintain personnel records as they relate to time off, vacation, and part-time hours and clinic scheduling through an online program.
  • Managing reception area and related responsibilities (answering telephone, greeting guests, mail, deliveries).
  • Respond to patient inquiries and forward requests to the appropriate clinic in a timely manner such as taxi requests.
  • Support the Sales department with maintenance of spreadsheets, employee letters and other business initiatives
  • Support the Finance department with distribution of company payments and managing patient files
  • Coordinating general office needs, including ordering supplies, stocking kitchen, tidying boardroom, booking boardrooms and other communal work areas, and the maintenance of the general office and its equipment.
  • Provide administrative support for company events such as ordering lunch, administering employee acknowledgement letters, coordinating transportation, etc.

SKILL SET:

  • Exceptional organizational, prioritization and time-management skills
  • Excellent communication skills, both verbally and written
  • Highly detail oriented and customer service skills
  • Proficient in MS Office- Word, Excel, Outlook and PowerPoint
  • Can work independently with minimal supervision while meeting deadlines
  • Must be an enthusiastic team player, willing to support and promote change management initiatives

REQUIREMENTS:

  • Administrative skills or office related experience: 3 years
  • Scheduling experience: 6 months – 1 year
  • Post-secondary education
